Manager Guide
See who planned their week, who's following through, and drill into any rep's calls.
Assigning calls to a rep
When you add an activity (+ Add activity in My Week, the Dashboard, or a customer's 360° view), you get an Assign to picker that reps don't. Leave it on yourself, or pick a rep you manage — the call lands in their plan, recorded as assigned by you. The picker only lists people you can see: your own team for branch managers, everyone for sales managers and admins.
Team Dashboard (sales managers & admins)
The Team Dashboard is the big-picture view for sales leadership — and it's the first thing sales managers and admins see when they sign in. A sales manager sees their own team; admins see every manager's team side by side. For the selected week (‹ › arrows to change it) you get:
- Activity-type chart — one bar per type: bar length is how many were planned, green fill is how many are completed. Your team for sales managers; company-wide for admins.
- Team cards — completion bar and percentage, a by-type breakdown (green when that type is fully done, red while calls remain), and each team member's own done/planned count. For admins, reps with no manager assigned appear in a "No manager assigned" card so no one slips through.
- Click any team member to expand their actual activities for that week — ✓/○ status, customer and objective, P21 task number, type, due date, and their notes. Click again to collapse.
- Sales performance (if configured) — a month-to-date table of each rep's gross sales and gross profit with a bar showing progress to their monthly goal, plus a team/company total. These figures come straight from P21, mirroring the sales portal. (This is month-to-date and doesn't change with the week arrows.)
- New customer activity — last 2 weeks (if the sales DB is configured) — which reps have new customers (first invoice in the last 12 months) that placed an order or quote in the last two weeks. Each rep row shows how many of their new customers were active this week and last week; expand a rep to see those customers with their order (ord) and quote (qte) counts, and click a customer to open its 360° view. Reps with no active new customers are left off.
- Sales by month (if configured) — a month-by-month table for the team: each month's gross sales, gross profit, % to goal, and GP margin, with a year-to-date total row. Use the rep picker to switch between the whole team total and any single rep, and the ‹ › arrows to look back at previous years. % to goal is colored green at/over goal, blue when close, red when behind. Admins get one table per manager.
Branch managers don't see this tab — their view of their own team is the Team Report below.
Leaders & Bleeders — any rep
The Leaders & Bleeders tab works for you the same as it does for reps (see the Sales & Counter Guide), with one addition: a Rep menu at the top lets you switch to any rep you oversee and see their book — who's growing, who's slipping, each account's last order/quote, last task, and open tasks. Branch managers see their own reps; sales managers and admins see everyone. Use it before a one-on-one to spot the accounts a rep should be working.
The Team Report
Open the Team Report tab. It shows plan vs. actual for your reps for the selected week. Use the ‹ › arrows to change weeks.
| Column | What it tells you |
|---|---|
| Rep | The salesperson. |
| Plan | Whether they submitted a plan, and when (✓ + date). |
| Planned | How many calls they planned. |
| Unplanned | Calls they added during the week. |
| Done | Calls completed. |
| Complete % | Share of planned calls completed. |
| Log | Whether they submitted their end-of-week log. |
Drill into a rep's calls
Click (or tap) any rep's row to expand their actual calls for that week. Each line shows:
- ✓ (done) or ○ (still open)
- The subject — customer, contact, and objective
- The P21 task number, activity type, and due date
- Whether it was an unplanned add, plus the first line of their notes
Click the row again to collapse it.
Emails you'll receive
You don't have to keep the app open to stay on top of your team — TrueBearing emails you automatically. The emails come from the rep's own mailbox, so you can reply straight to them.
| When | You get |
|---|---|
| A rep submits their plan (start of week) | Their plan for the week — the calls they intend to make, with a breakdown by activity type. |
| A rep submits their log (end of week) | What they completed — done vs. not, complete %, and a by-type breakdown. |
| A rep submits a price page | The customer price page as a branded PDF — suppliers, target margins, and levels — for your review. It also goes to the vendor-programs team. |
| Weekly team debrief (Sunday morning by default) | One email covering your whole team: a plan-vs-actual summary table plus every rep's calls and notes — sitting in your inbox for Monday. |
